Employment Opportunity for a Receptionist
to be based in Ho Chi Minh City:

Major duties: Under the overall direction of the Head of Office and the direct supervision of the Human Resources Coordinator, the Receptionist will be responsible for operating the telephone switchboard, and providing daily administrative support to the office and off-side teams in Ho Chi Minh City, more particularly, s/he will:

– Receive and direct all incoming telephone calls in English and Vietnamese
– Place long distance calls and record the nature (official or personal) of the calls
– Anticipate actions regarding answering machine and else during holidays
– Undertake daily drop-off’s and pick-up’s of pouches for IOM various offices in HCMC
– File and maintain attendance record
– Receive faxes, mails and ensure distribution.
– Maintain a central registry of chronological files of all incoming and outgoing correspondence.
– Maintain and update the IOM mailing list of all partners, press, IO, NGOs, stakeholders, etc.
– Prepare and send on time, the IOM Press Release to the external contacts, as required
– Prepare daily mail and pouch for external parties and IOM worldwide, ensure that mails go out on time. Undertake actions for retrieving shipments/documents from Post Office/Customs
– Maintain and update the internal telephone list as well as list of IOM partners.
– Draft/prepare letters and diplomatic notes
– Perform translations services as requested
– Any other duties as may be assigned.

Education/Experience Required:  High school diploma or equivalent.  Several years of work experience in administration, and telephone operator.

Competence/Skills: Excellent knowledge of English; Excellent computer skills, especially in Word & Excel; Strong interpersonal & intercultural skills; Excellent Customer Service Relations Skills; Excellent Presentation; Speak confidently, audibly and distinctly (in either Vietnamese or English); answer calls quickly; project a friendly, courteous, helpful and competent manner at all time.

Language Proficiency:  Vietnamese, English. Any other language is an advantage.

Salary: Grade 3 Position Grade (UN salary Scale)
